What is an Inspection Checklist?
An inspection checklist is a standardised list of items or steps to verify during an inspection. It ensures nothing is missed and results can be recorded consistently. Inspection checklists are often used in preventive maintenance and compliance.
What it means
Checklists can be paper or digital (e.g. in a CMMS). Completed checklists become part of the asset or work order history.
Why it matters
- Checklists define what to check and sometimes pass/fail criteria.
- They support consistency and auditability.
- Used for PM inspections, safety checks and compliance.
- CMMS can attach checklists to work orders and store results.
Example in maintenance operations
A monthly pump inspection checklist: check for leaks, vibration, oil level, seal condition, record readings. A fire extinguisher checklist: location, pressure gauge, tag date.

Frequently asked questions
What is the difference between an inspection checklist and a PM checklist?
An inspection checklist focuses on what to check and record. A PM checklist may include both inspection steps and actions (e.g. lubrication, replacement). Many PM tasks use an inspection checklist as part of the work.
