What is a Work Order?
A work order is a formal request or instruction to perform maintenance (or other) work. It typically includes what to do, which asset or location, who is assigned, priority, due date and status. Completed work orders provide a record of what was done and when.
What it means
Work orders are the core unit of work in a CMMS. They move from request or schedule to assignment, execution and closure, with history stored for each asset.
Why it matters
- Work orders can be created from requests, PM schedules or inspections.
- They are assigned to technicians and tracked through status (open, in progress, completed).
- Completion captures labour, parts, notes and attachments for history.
- Work order backlog and ageing are common maintenance KPIs.
Example in maintenance operations
A work order is created when a tenant reports a leaking tap; when a PM schedule triggers a monthly filter change; or when an inspection finds a defect that needs repair.

What is the difference between a work order and a work request?
A work request is often the initial ask (e.g. from a user or system). A work order is the formal task that is assigned, scheduled and executed; it may be created from one or more requests.
Can work orders be generated automatically?
